What constitutes a line?

Physical line: Is a line in MS Word document in Times New Roman 12pt, in a standard format.
Standard Line: We count 65 characters as a line, where a character is defined as any letter, number or symbol necessary for the final appearance and content of a document, including the space bar. To understand this fully, take a transcribed document and open it in MS-Word 97 or greater, then click Tools, select Word Count and note the value shown next to “Characters (with spaces) and divide this by 65. Then you will get the line count of that particular document.

Do you provide custom formatting? Can you use my Normals?

We use a default template with the following specifications: Margins: 1 inch all around Font: Times New Roman 11 pt Justification: Left If your desired format requires modification of any of these features, we can create it for you. We will request you to send a sample of each worktype as an email attachment to info@pes-in.com. We will be happy to incorporate any normals or canned phrases you may routinely use in your dictation. Please send the text of your normals/canned phrases as an email attachment to mtadmin@vinfonet.com

How do I receive my transcriptions?

You can select one or more of these option
As an attachment to secure e-mail
Through ftp site
Downloading from our web data bank
By fax
By remote printer

How do I open the transcriptions I download?

The transcriptions are returned in an RTF (Rich Text Format) file. This standard file type can be opened using virtually any word processing program, including Microsoft Word, WordPerfect, Lotus, etc.

How long do you store my transcription?

We store our client's transcription for at least 1 year to provide them with additional backup and support for their records. If requested, we will maintain them longer. Our active clients can request reprints, retransmission of specific documents without any extra charge.

How secure are transcriptions transmitted via the Internet?

All communication between your computer and our server is protected through the use of Secure Socket Layer encryption (SSL). This means that nobody can listen in on the conversation between those computers. This is the same level of security that large E-Commerce and banking sites use. You can verify this by looking for the little padlock icon used by Netscape and Internet Explorer to designate secure site.

What about the security/privacy of patient information?

We are extremely concerned with the privacy of medical records. We adhere to all HIPAA and AAMT guidelines and recommendations. All files and transmissions are encrypted and password protected. All employees sign confidentiality and non-disclosure agreements. Every printed document that contains client/patient information is shredded and properly disposed of immediately after use.

Can you accept and handle overflow? Occasional and small volumes?

If you are having in-house transcription facilities and do not want to disturb it, we can work with your staff to handle your overflow. There are many times that your staff cannot handle all of your work, due to vacations, illnesses or sudden increases in your patient load. We can have all of your templates set up on our system and you can call in when you need to.

What about voice recognition?

This is an exciting and promising technology; but, to be honest, even the most expensive systems by IBM, Dragon, L&H and Philips are not ready for primetime for a Physician. They require a significant amount of extra work on the part of the physician. Within the next few years, we believe that Voice recognition will achieve the capabilities to be viable for the medical profession. Right now, the cost in lost productivity time for the physician is far too much to be worthwhile.
